Common questions

CRM ROI: what it means and how we calculate it.

Answers to the questions we hear most from revenue and ops leaders evaluating their CRM setup.

How is CRM ROI calculated? +

This calculator estimates the annual productivity cost of CRM friction using three inputs: number of sales reps, average hours lost per rep per week, and the fully loaded hourly cost per rep. That gives you your annual waste figure. We then apply your productivity improvement goal, the percentage of that waste you could realistically recover, to produce your ROI opportunity. It's a conservative, bottoms-up estimate, not a vendor promise.

What is a CRM Maturity Score? +

A CRM Maturity Score is a 0-100 rating of how well your CRM setup supports your revenue process. A high score means your CRM is clean, adopted, and generating reliable data. A low score indicates friction: poor adoption, reporting gaps, disconnected tools, or data quality issues that are quietly costing your team time and pipeline. WhiteRock's score is derived from your calculator inputs and is designed to point you toward the highest-leverage fix, not a full audit.

How long does it take to fix CRM adoption issues? +

It depends on the root cause. In most mid-market teams, adoption problems come from one of three places: page layouts that are too complex, required fields that slow reps down, or a lack of clear process ownership. Fixing the first two can take two to four weeks. Building the governance and manager accountability layer typically takes one to two quarters. The teams that see the fastest improvement are those that simplify before they train.

What CRM platforms does WhiteRock support? +

WhiteRock primarily works with Salesforce and HubSpot, the two most common platforms in mid-market B2B and PE-backed companies. We also support Microsoft Dynamics engagements and have experience with Zoho and Pipedrive in smaller team contexts. Our custom development work frequently connects these platforms to ERP systems, marketing tools, and operational software, so the engagement isn't limited to the CRM itself.

Is this calculator free to use? +

Yes, completely. The ROI estimate is available without any registration. The CRM Maturity Score and recommended focus areas are unlocked with your email — we use that to follow up if your results suggest we can help, but there's no sales pressure and no obligation.

What does a RevOps consultant actually do to fix CRM problems? +

A RevOps consultant diagnoses the gap between how your CRM is configured and how your revenue team actually works. In practice that means auditing your data model, pipeline stages, automation workflows, and reporting setup, then rebuilding the parts that are creating friction or producing unreliable data. WhiteRock's engagements typically start with a structured diagnostic, move into a build phase, and shift into ongoing admin support once the foundation is stable.
